Translations for immigration documents: check the instructions first

Translation requirements depend on the application and document, not just on the language you speak.

General information only, not immigration or legal advice. Reading an article does not create a client relationship. Requirements and policies can change; check the official sources before acting. Eligibility and outcomes depend on individual circumstances and decisions by the relevant authorities. No visa, permit, nomination, admission or permanent residence outcome is guaranteed.

Identify the receiving organization

IRCC, a provincial program, a school and a professional regulator may have different instructions. Check the current requirements for the specific document and process before ordering a translation. Do not assume that a translation accepted in one context will be accepted in another.

Ask what the translation package includes

Confirm whether the instructions require certification, an affidavit, a copy of the original or other supporting material. Requirements can depend on who translates the document. Ask the translator how they will meet the relevant instructions, and do not translate your own records where the rules do not permit it.

Review accuracy without rewriting history

Check that names, dates, stamps and other relevant content have been handled accurately. Keep the original and translated records together. If the underlying document has an error, raise that separately; a translation should not quietly correct or omit inconvenient information. Seek clarification when the required format is unclear.

Preparation checklist

  • Read the specific translation requirements.
  • Confirm the translator’s package and qualifications.
  • Keep originals paired with accurate translations.
